Bookkeeper and Charity Accounts Preparer

The contract
Trans Pride Brighton is looking for an established bookkeeper or small bookkeeping business to maintain our financial records and prepare our annual reporting. We are a charitable incorporated organisation with income above £100,000 and a strongly seasonal workload.
Work involved
- Record, categorise and reconcile income and expenditure in FreeAgent or an agreed replacement system.
- Reconcile our bank and payment accounts and keep the records ready for review.
- Track one restricted grant and keep restricted and unrestricted funds separate.
- Prepare compliant annual charity accounts in the appropriate format for trustee approval and independent examination.
- Work with the CEO to prepare the financial and governance sections of the trustees’ annual report. TPB will provide the narrative about our activities and impact.
- Liaise with the independent examiner, answer queries and make agreed corrections.
- Complete the financial and administrative parts of the Charity Commission annual return, upload the approved documents and ensure submission by 31 January.
- Give the CEO and trustees early notice of missing records, unusual transactions or risks to the deadline.
Workload and boundaries
There are usually around 10 transactions a month from September to May, rising to more than 100 a month in June, July and August. TPB currently has no payroll, workplace pension or VAT returns. The role does not include making payments, managing bank accounts or issuing invoices. Trustees retain responsibility for approving the accounts and trustees’ annual report.
What we need
Essential
- An established self-employed practice or bookkeeping business able to take TPB on as a client.
- Experience bookkeeping for charities or similar organisations and preparing annual accounts for independent examination.
- Anti-money-laundering supervision through HMRC or an appropriate professional body, professional indemnity insurance and suitable client references.
- A clear, reliable approach to deadlines, record keeping and confidential information.
Strongly preferred
- AAT, ICB, ACCA, ICAEW or equivalent qualification, membership or practice licence.
- Experience with CIO accounts, restricted funds, trustees’ annual reports and Charity Commission returns.
- Based in or near Brighton.
